DONOR POLICIES
PURPOSE
To ensure personal donor information is confidentially maintained and is shared with donor permission on a strict need to know basis only.
POLICY
All information concerning donors or prospective donors, including their names, addresses and telephone numbers, the names of their beneficiaries, the amount of their gift, etc., shall be kept strictly confidential by QHS, its staff and volunteers, unless permission is obtained from donors to release such information.
QHS adheres to all regulated provincial and federal privacy legislation, including Freedom of Information and Privacy (FOIP) and Personal Information Protection and Electronic Documents Act (PIPEDA).
QHS may use a third party mailing service to conduct direct mail activities.
PROCEDURE
QHS will collect and maintain the following types of donor information:
- Contact information: name, address, telephone number and email address.
- Giving information.
- Information on events attended, publications received and special requests for program information.
- Information provided by the donor in the form of comments and suggestions.
QHS will use donors' information to understand their interests in its mission and to update them on the organization's plans and activities. It will be shared with staff, board members, volunteers and consultants only on a “need to know” basis.
QHS will assure donors that their names and addresses will not be shared with any third party unless permission has been granted. Those donors who do not wish to be included on a mailing list may request to not be mailed.
Where possible, QHS will publicize its Donor Policies on its website, Annual Report and fundraising appeal packages.
